RESPONSIBLE USE COMPANY PERMISSIONS AND HUMAN REVIEW

UPDATED

SCOPE AND YOUR AGREEMENT

These AI use rules explain the responsibilities associated with AI-assisted work in VETRA. AI inputs are the content and instructions a user submits or selects; AI outputs are the drafts, answers, translations, transcripts or audio a feature generates.

Your signed service agreement and any applicable data processing addendum govern the service supplied to your organization. These public pages do not amend a signed agreement, activate a feature, create a subscription or record acceptance on behalf of your organization. Mandatory rights under applicable law remain unaffected.

AUTHORIZED USERS AND COMPANY CONTROL

Use AI features only through your own authorized account and within the company, project and record permissions assigned to you. Do not use bots or AI prompts to obtain another user’s information or bypass access controls.

Your organization is responsible for assigning appropriate users, defining permitted tasks and ensuring that a named person is accountable for the work. Protected actions remain subject to the applicable approval process. A preview role card on this website does not recruit a production bot.

RIGHTS TO SUBMIT INFORMATION

Submit content only if you have the rights and lawful basis needed for the intended processing. Give required notices and obtain required permissions from the people whose information or voices are included.

Use the minimum information necessary for the task. Do not submit sensitive personal information unless it is necessary, lawfully permitted and covered by your organization’s approved arrangements.

Rights in inputs and outputs, permitted processing, confidentiality and third-party materials are governed by the applicable agreement. AI output may resemble material generated for others; uniqueness and freedom from third-party rights are not guaranteed.

RESTRICTED DATA AND UNACCEPTABLE USE

Do not submit classified information, malicious material, unlawfully obtained recordings, or information whose disclosure or processing is prohibited by law, export controls, sanctions or contractual restrictions.

Do not send licensed exchange market data, including CME or ICE data, or paid vessel-position data to an AI feature unless the relevant licence explicitly permits that processing. A connection to a data feed does not itself grant AI processing rights.

Do not attempt to extract confidential information, evade safeguards, impersonate another person or make a tool act outside its authorized purpose. These are use restrictions; this page does not certify that a technical block is deployed for every category.

CHECK OUTPUTS BEFORE ACTING

Treat AI output as a draft. It may contain errors, omit context, be out of date or misinterpret the source. Transcription, translation and synthesized speech can also be wrong.

A suitably qualified person must review the original evidence and approve an output before relying on it, sharing it outside the platform or using it to change a record. Check facts, figures, recipients, attachments and required permissions.

Do not rely on AI output alone for navigation, emergency response, safety, legal commitments, compliance determinations, customs filings, financial transactions, investment decisions or decisions affecting an individual’s employment, access or rights. AI assistance does not replace professional advice.

FEATURE ACCESS AND USAGE

The features available to a user depend on the deployed release, company configuration, permissions and connected services. Supported languages, files and data sources vary. The website’s catalog is not a guarantee that every tool is enabled.

Usage restrictions, provider interruptions and applicable service terms can affect AI availability. Monthly company pools and individual staff or bot caps shown on this website describe the proposed usage model; the applicable commercial agreement determines purchased services and charges.

Contact your administrator or the VETRA team to discuss disabling or restricting AI use. Do not assume that every deployment has the same administrator controls.

PRIVACY PROVIDERS AND RECORDS

Review the AI Privacy information before submitting content. Ask for the service-specific provider route, processing locations, retention schedule and relevant data-processing agreement where your work requires those details.

Approved outputs may become part of operational records. Requests to return, remove or correct those records are subject to the applicable agreement, record-retention duties and lawful requests.

QUESTIONS AND CHANGES

The update date identifies this public information version. Changes to an organization’s contractual terms or processing arrangements must follow the applicable agreement and law; changing this website does not itself record a customer’s acceptance.

Ask the VETRA team about the terms and information that apply to your organization before using a feature for restricted or regulated work.
